The big day is booked with your Temple or Synagogue now what? We've gone to one to one of the up and coming local names in the event planning business for her expertise on what you should do next.

Organizing is key when planning a Mitzvah. It's important to plan ahead and stay on track for your special day. Here is a planning guide provided by Rachel Taubman-Glickfeld, Event Producer and Owner of Taubman Events , to help you get started!

 

18 Months Before

  • Make a rough guest list so you have an estimated number of people in mind

  • Research venues

  • Decide if you want to hire a party planner, and start interviewing 

  • Start thinking about a party theme

  • Start thinking about a budget

 

1 Year Before

  • Contract venue, caterer, photographer, videographer, DJ/band, decorator, florist and party planner

  • Think about the extra entertainment you might want and sign contracts

  • Begin working on a video montage

 

10 Months Before

  • Firm up your guest list

  • Send out a save-the-date

  • Set up a website with all the details of your party

  • Select and order invitations

  • Create a custom logo

 

8 Months Before

  • Begin planning/booking other weekend events, including a Friday night dinner and Sunday brunch

  • Arrange for transportation for guests

  • Work on centerpiece ideas

  • Venue walk-through with your planner

  • Make hotel block for guests

  • Begin gift registry 

  • Work on a video montage

 

5 Months Before

  • Plan the menu and do a tasting

  • Begin shopping for clothes for the special day/weekend

  • Order personalized kippot

  • Get invitations to a calligrapher, if you are using one, and order stamps

  • Order party favors

  • Order a cake

  • Arrange for a special photo shoot with your child if you want to blow up photos 

  • Schedule salon appointments and trial run

 

2-4 Months Before

  • Plan the candle lighting ceremony

  • Select music for the party

  • Mail invitations (Traditionally this is done 6-8 weeks before the date.)

  • Make a detailed timeline of your event. Work with the venue or party coordinator like Taubman Events on this

  • Decide who will say the prayers over the bread and wine

  • Order custom printed materials such as table numbers, signs, favor tags, etc.

 

1-2 Months Before

  • Reconfirm all vendors, timing and any special instructions

  • Write speeches

  • Organize and record RSVP’s

  • Do dress/suit fittings

  • Make a list for photographer of “must have” shots

  • Put together welcome baskets for out-of-town guests

  • Finalize and confirm all song selections

  • Do guest seating assignments

 

1 Week Before

  • Have a dress rehearsal - usually arranged by the synagogue

  • Have a formal photo shoot in the synagogue

  • Final count confirmations to vendors

  • Final payments to vendors and prepare any tips to be given on event day

  • Finalize seating chart

  • Do a final re-confirm with all vendors

  • Deliver welcome baskets to hotel
